Terms of Service

These Terms of Service, effective April 29, 2026, supersede all prior versions. Continued use of the Service constitutes acceptance of these updated terms.
These terms govern your use of OnboardingGenie. By creating an account or using the Service, you agree to these terms.
1. The Service
OnboardingGenie ("Service") is a software platform for collecting onboarding paperwork, intake forms, employment verification, training delivery, and related documents. Organizations build reusable packet templates and invite recipients — new hires, contractors, clients, or other parties — to complete documents, signatures, forms, file uploads, training modules (video, slides, documents, links), quizzes, and verifications via a magic link. Recipients access the Service without creating accounts.
2. Eligibility
You must be at least 18 years old and authorized to bind your organization to these terms. You are responsible for the accuracy of the information you provide.
3. Pricing and Subscription Terms
Effective April 29, 2026. Supersedes prior pricing terms.
OnboardingGenie offers a 30-day free trial of all features. No credit card is required to begin the trial. After the trial period, continued use of the Service requires a paid subscription at one of the following rates:
- Pro Monthly: $49 USD per month
- Pro Annual: $490 USD per year
- Pro+ Monthly: $79 USD per month (includes training steps, Genie slide generation, and Genie quiz generation)
- Pro+ Annual: $790 USD per year
Pricing is per organization and is not based on the number of users, team members, or onboardings sent. We reserve the right to change pricing for future subscription periods upon notice; existing paid subscribers will not be subject to mid-period price changes.
A 7-day grace period follows trial expiration during which Service access continues. After the grace period, accounts that have not subscribed will have new onboarding creation paused; in-progress onboardings will continue to completion regardless of subscription status. Account data, templates, and settings are preserved indefinitely until the user requests deletion.
4. Billing and Cancellation
Pro subscriptions are billed monthly or annually via Stripe. You authorize us to charge your payment method on a recurring basis until you cancel. Cancel any time from your Subscription page — your subscription remains active until the end of the current billing period, after which new onboarding creation is paused. If a payment fails, we retain full access during a short grace period (currently 7 days) and notify you by email. After the grace period, new onboarding creation is paused until payment is resolved. In-progress onboardings continue to completion regardless. Fees are non-refundable except where required by law.
5. Your Responsibilities
You are responsible for ensuring you have the legal right to collect, process, and store the information you gather using the Service, and for complying with all applicable employment, tax, privacy, healthcare, financial, and other laws in your jurisdiction. You are responsible for the security of your account credentials and for the actions of users you invite to your organization. You agree not to upload malicious code, attempt to bypass security controls, scrape or re-distribute another organization's data, or use the Service for any unlawful purpose.
6. Data Ownership
You and your recipients retain ownership of all information submitted through the Service. We process this information as a service provider on your behalf, subject to the retention and deletion practices described in our Privacy Policy.
7. Data Retention
OnboardingGenie is designed as a transient system. Uploaded files and sensitive form data are deleted on a published schedule. If you need documents for long-term compliance records, download them at completion and store them in your own system. See the Privacy Policy for the full retention schedule.
8. Intellectual Property
The Service, including its software, templates, design, and branding, is owned by us. We grant you a non-exclusive, non-transferable right to use the Service during your subscription. Content you create (templates, uploaded documents, form data, slide content authored in the editor, quiz questions, and AI-generated slides and quizzes) remains yours.
9. Third-Party Integrations
The Service offers optional integrations with AddYourHours and QuickBooks. You are responsible for any terms governing those services. We are not liable for how those services handle data you send to them.
10. Termination
You may delete your account any time by contacting support. We may suspend or terminate accounts that violate these terms, engage in fraud, or pose a security or legal risk. On account termination, data is subject to the retention and deletion schedule in the Privacy Policy.
11. Disclaimer
The Service is provided "as is" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. OnboardingGenie does not provide legal, tax, medical, financial, or compliance advice. Consult qualified professionals for such matters.
12. Limitation of Liability
To the maximum extent permitted by law, our aggregate liability for any claim arising out of or relating to the Service is limited to the amount you paid us in the 12 months preceding the claim (or USD $100 if you were on a free trial). We are not liable for indirect, incidental, consequential, or special damages.
13. Governing Law
These terms are governed by the laws of the State of Texas, United States, without regard to conflict-of-laws principles. Disputes shall be resolved in the state or federal courts located in Tarrant County, Texas.
14. Changes
We may update these terms. Material changes will be announced via email to admins at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
