Most onboarding tools want you to start over.
You already have an intake stack. A W-9. A direct deposit form. A non-disclosure agreement. A contractor agreement. Maybe a custom intake questionnaire you built in Word years ago.
Most onboarding tools tell you to throw all of that away and rebuild it inside their template editor. That's hours of work — and the moment a form changes, you're doing it again.
Drop in your PDFs. The Genie does the rest.
Upload.
Drop one PDF or a stack of them into the importer. Common forms — W-9, I-9, NDAs, intake questionnaires — are recognized automatically.
The Genie reads.
It pulls out the form fields, signature locations, and document structure. Each PDF becomes a step in your new onboarding template.
You ship.
Tweak field labels, mark fields required, reorder steps if you want — and you have a working template. Send your first invite minutes later. The Genie also generates slide-based training steps from PDFs, content uploads, or topic prompts.
You decide how it's organized.
Before the Genie reads your document, you tell it how to organize what it finds. Three choices, depending on how clean you want the recipient experience to be:
Let the Genie decide.
We'll group questions based on your document's structure. Best when your PDF has clear sections and you trust the Genie to recognize them.
Keep as one step.
All questions in a single form, no breaks. Best for short documents where breaking things up would feel like extra work for your recipient.
Split into multiple steps.
Break questions into smaller groups, even if the document has no clear sections. Best for longer forms where one wall-of-fields would overwhelm your recipient.
You can always reorganize the steps after the Genie is done. Nothing about the Genie's read is locked in.
What the Genie catches:
Form fields
- Text inputs (name, address, phone, etc.)
- Date fields
- Checkbox groups and radio buttons
- Tax ID / SSN fields
- Free-text comment boxes
Document elements
- Signature locations
- Initial-required sections
- Document acknowledgments ("I have read and agree...")
- Multi-page form structure
- Reference documents that just need to be read, not filled in
Who puts the Genie to work.
Replacing a paper-and-email stack.
If you've been onboarding new hires or clients with a PDF packet you email out and hope comes back filled in, this is your fastest path off that. Your existing PDFs become your starting point, not your obstacle.

Common questions about the Genie
Quick answers to questions people ask before they upload their first PDF.
What does the Genie do?
The Genie is OnboardingGenie's AI document import feature. It reads PDFs you upload — W-9s, I-9s, NDAs, intake questionnaires — and turns them into a working onboarding template with form fields, signature locations, and document acknowledgments already in place.
What kinds of PDFs can the Genie read?
The Genie handles common business intake documents including W-9, I-9, NDAs, contractor agreements, employment forms, custom intake questionnaires, and multi-page packets. PDFs with complex tables or hand-drawn elements may require manual cleanup after import.
How long does AI document import take?
A typical PDF takes 10–30 seconds for the Genie to read and extract. A stack of five to ten documents takes a couple of minutes. You'll see each document's extracted fields and structure ready to edit before you commit.
Can I edit what the Genie extracted from my PDF?
Yes. After the Genie finishes, you see every extracted field and step. You can rename fields, mark them required, change field types, reorder steps, add new steps manually, or delete what you don't need. Nothing the Genie produces is locked.
How do I tell the Genie how to organize my document?
Before the Genie reads, you choose: "Let the Genie decide" (groups by document structure), "Keep as one step" (all questions in a single form), or "Split into multiple steps" (smaller groups even without obvious sections).
Does the Genie cost extra?
No. AI document import is included in both the 30-day free trial and the Pro subscription at no additional charge. There are no per-document fees, per-extraction limits, or AI-credit metering.
What happens to PDFs I upload to the Genie?
Uploaded PDFs are processed by Google Vertex AI and stored in your OnboardingGenie account, encrypted at rest. They're used only to build your template — never shared, sold, or used to train external AI models. You can delete them at any time.
Your documents are already written. Let the Genie read them.
